Grace Production OS - Documentation

This is the user guide for Grace Production OS - a film and television production management platform built by working filmmakers. If you're new, start with Concepts - it lays out the philosophy behind every screen so the rest of this guide makes sense.

I'm a…

Quickstart for your role. Each is a 2-minute read with links into the workflows you'll actually use day-to-day.

Workflows

Step-by-step walkthroughs of the work each role does inside Grace. Read these in order if you're learning the app end-to-end; otherwise jump to whatever you're about to do.

  1. Production setup - Create the org, the production, invite the team.
  2. Script → Breakdown - Upload a script, review the AI parse, commit the breakdown.
  3. Pre-production - Schedule, budget, locations, props, shot list, documents (generate and e-sign deal memos, releases, and NDAs).
  4. Call sheets - Build, approve, send. Daily AD cycle.
  5. Set Dashboard - Live shoot-day control. The 1st AD's home for 12 hours a day.
  6. Compliance - Safety meetings, exhibit G, minor hours, the 8 compliance documents, sent out for e-signature.
  7. Script supervisor - Continuity, takes, director picks.
  8. VFX flagging + turnover - Flag shots, capture references, hand off to post.
  9. Editor log - Circled takes view, EDL / FCPXML / CSV exports for the editor.
  10. Vault - Magic-link screener delivery, daily dailies, DIT pipeline.
  11. Wrap + delivery - Final exports, archival, what to do at wrap.

About this guide

  • Audience: everyone on a production - owner, AD, director, DP, sound, crew, cast.
  • Voice: practical. Screenshots show real screens, not mockups. Steps assume you've signed in.
  • In-app tours: Grace teaches itself in-product. Most pages launch a guided spotlight walkthrough on your first visit, and you can replay any of them from the gear menu's "Show guide". This written guide is a companion, not the only path.
  • Up-to-date as of: 2026-06. Grace is currently a free open beta (US only, no card required), so pricing and seat charges are off; the Billing & seats page describes machinery that is not active yet. Everything else reflects what's live on us.graceproductionos.com. Newer features may not be documented yet - if you see something in the app that isn't covered here, ping support and we'll get it added.

If something in the app doesn't match this guide, the app is right and this guide is stale - please email [email protected] and we'll get it fixed.
