Wrap + delivery

What happens at end of shoot. This page is intentionally short - Grace doesn't have a "wrap mode" button. Wrap is just the moment when the workflows above transition from "make new data" to "export final data + archive." Every page also carries an in-app guide you can replay from the gear menu ("Show guide") if you want a refresher on where each export lives.

End-of-show export checklist

Run through these at company wrap:

  • Final DPR - generate from the Set Dashboard for the last shoot day. Pulls into the archive of daily reports.
  • Editor log exports - from Editor log, pull CSV / PDF / EDL / FCPXML. Hand to the editor + assistant editor.
  • VFX turnover PDF - from VFX dashboard. Hand to the VFX vendor.
  • Camera report PDFs - from Script supervisor workflow, one per shoot day.
  • Script supervisor reports - same, but the continuity-focused variant.
  • Daily timesheet PDFs - from Timecards, one per shoot day for both crew + cast.
  • Compliance documents - make sure all 8 doc types reach executed for each shoot day they were generated. You can either upload a paper-signed PDF or send the doc for e-signature in-app (SEND FOR SIGNATURE, powered by Documenso), and the signed copy flips it to executed. A signed/executed deal memo also flips the roster row and its budget person-line green. Grace never signs for you.
  • Final budget actuals - Budget → Budget shows current state including all POs. Use the EXPORT dropdown to snapshot to PDF for accounting.

What to do with the org after wrap

A few options:

Keep it warm

If you're moving into another production with the same company, keep the org active. Just create a new production inside the same org. The crew/cast/vendor masters carry forward if you want to re-invite the same people.

Archive the production

If a production is done and you want it out of your active list and set to read-only:

  1. From the dashboard home, click the edit pencil on the production card.
  2. Click ↓ ARCHIVE PRODUCTION, then CONFIRM ARCHIVE.

What this does:

  • Stamps archivedAt = now(), sets archiveReason = 'manual'.
  • Makes the production read-only (anyone with access can view but not write).
  • Strikethrough on the production card + an "ARCHIVED" pill.
  • Under the hood it also frees the production-slot binding and flips bundled members to your floating pool. During the free beta production slots are unlimited, so freeing a slot has no practical effect today. It only matters once paid plans return at general availability.

To resume work, open the edit pencil again and click ↶ UNARCHIVE PRODUCTION.

There's nothing to cancel during the free beta

Grace is in an open, free, US-only beta. There's no card on file and no subscription, so wrapping a show doesn't require canceling anything and there's no slot pressure. Settings → Billing shows a FREE BETA card ("Every feature is included, free, with no card on file"), not a subscription to manage. When you wrap, you just archive the production (above) or, if you're closing the company, soft-delete the org (below).

When paid plans return at general availability, a subscription-cancellation lifecycle (cancel at period end, a grace period, and over-quota lock/archive) will apply. That full state machine lives in Billing & seats.

Soft-delete the org

If you're shutting down the production company:

  1. Settings → Org → Danger Zone.
  2. Type the org name to confirm.
  3. DELETE ORGANIZATION.

What this does:

  • Marks the organization as soft-deleted.
  • If the org has an active subscription (paid or founders), sets it to cancel at the end of the period so billing terminates without renewal, and you keep access through the current period. In the free beta there's no subscription, so this step is a no-op.
  • All productions, members, vendors, etc. survive intact - the org just disappears from your switcher and dashboards.

Soft-delete is recoverable for a soak window - open an issue if you need to undelete. Hard delete is intentionally not exposed in the UI to prevent accidental data loss.

What you can revisit after wrap

The vault stays accessible - finished screeners can keep being shared, dailies clips remain streamable, magic links continue working until shares are explicitly revoked or expire. (The Vault is a deterrent tier with per-viewer watermarking and forensic logging, not DRM.)

The breakdown, schedule, budget, timecards stay queryable. Read-only for archived productions, but you can pull historical reports any time.

The compliance documents stay in their final status. If you uploaded or e-signed an Exhibit G, it's there forever (or until you delete the org).
